The First Step to AI in Your HRIS: Finding Use Cases That Work

Not every process suits AI. Prioritise by data maturity, risk and benefit.

Expectations for HR AI are high, but the first real question is usually “where do we start?” Our advice: don’t pick a tool first. Inventory the HR processes where AI can genuinely land, and rank them.

Dimension 1: Data maturity

AI needs stable, consistent data. For each scenario, check whether the data it depends on is already in the HRIS (for example SAP SuccessFactors), whether field definitions are clear, and whether history is complete. If the data isn’t ready, fix the data before adding AI.

Dimension 2: Risk and checkpoints

Risk varies widely. Policy Q&A and document preparation are low risk; anything involving ratings, pay or personnel decisions needs human confirmation points and must only access authorised data. The higher the risk, the clearer the governance and audit trail must be.

Dimension 3: Visible benefit

Good starting points share three traits: they happen often, they take a lot of manual time today, and their results can be measured. Think managers writing review comments, HR answering the same policy questions, or monthly reports assembled by hand.

From inventory to pilot

Score candidates on all three dimensions and pick one pilot: record today’s time, volume and error rate as a baseline, switch AI on in a controlled scope with human checkpoints, review after 60–90 days, then decide whether to scale.

Proving value with data wins more support than launching many features at once — and makes the next phase easier to fund.
